Overview 

We are seeking a detail-oriented, highly organized HR Assistant to join our team. The ideal candidate will provide administrative and operational support to the HR department, ensuring smooth day-to-day HR processes, excellent internal customer service, and accurate recordkeeping. 

What That Actually Involves 

• Provide administrative support for all HR functions, including recruitment, onboarding, offboarding, and record management.
• Assist with posting job openings, screening resumes, and scheduling interviews.
• Own the prescreening candidate process for high volume seasonal hiring
• Coordinate and prepare onboarding materials for new hires, including offer letters
• Maintain employee records in HR systems, ensuring accuracy and confidentiality.
• Support payroll processing by ensuring accurate documentation and updates.
• Assist with group benefits administration, including enrollments, changes, and terminations.
• Help organize HR events, training sessions, and employee engagement activities.
• Manage and monitor HR and payroll related mails, triage and route items to the appropriate internal stakeholders for timely resolution
• Respond to basic HR inquiries from employees and escalate as needed.
• Ensure compliance with company policies and applicable labor laws.

What You Will Need 

• Post secondary education in HR; Associate’s or Bachelor’s degree in HR, Business Administration, or related field.
• 2+ years of previous HR administrative experience.
• Basic knowledge of employment & labor law, OSHA standards, compliance requirements and HR best practices in US and CA is preferred.
• Ability to handle confidential information with discretion and professionalism

In this role, you will be responsible for ensuring mobility equipment is delivered, maintained, and ready to meet our customers’ needs—whether they're boarding a cruise, staying at a hotel, or attending an event. • Provide excellent customer service to both internal teams and external customers.

• Sanitize equipment before and after each delivery.

As WHILL continues to scale globally, we are seeking a Service Operations Integration Manager to support the successful adoption of our autonomous mobility service following new deployments in North America. This role will serve as the operational liaison between WHILL and our partners, ensuring smooth integration, strong adoption, and sustained device utilization. The Integration Manager will work closely with senior leaders, station leadership, frontline teams of our clients, to drive operational excellence, training, and change management.

Responsibilities: 

1. Partner Integration: Consult with and support clients in preparing, executing, and tracking the use of WHILL Autonomous Service. Develop a strong understanding of how clients operate their PRM assistance services and support the successful integration of WHILL into their daily operations. Provide training across different parts of the client organization. Work closely with the Business Development team to communicate effectively with current and prospective clients and set them up for success. 

2. Data & Performance Management: Improve and enhance service utilization through ongoing assessment of service performance. Develop a deep understanding of how services operate at each site through data tracking and client follow-up. Summarize and report performance in a clear and timely manner, both internally and externally as needed. Identify operational constraints and develop action plans to help clients improve service utilization. 

3. Service Support: Respond to and resolve challenges related to the service. Understand the operating environment and determine root causes of issues. Drive the identification and implementation of solutions for clients, both remotely and onsite. Maintain timely communication with clients. This role may also require some hardware and software maintenance, as well as service setup support. 

4. Best Practices & Documentation: Consolidate best practices and develop manuals as needed. As the business grows, ensure that internal and external SOPs and manuals are regularly updated, effective, and scalable. Establish and refine best practices for onboarding new clients. 

Qualifications: 

• 6+ years of work experience, ideally with operations background.  
• Bachelor’s degree preferred.
• Experience in aviation/airport and specifically in supervising wheelchair assistance operations at hub-airports is preferred 
• Demonstrated ability to drive results in a fast-paced, dynamic environment 
• Exceptional communication skills (written and verbal), and ability to work collaboratively

Overview

We are seeking a reliable and detail oriented Operations Supervisor to assist with leading and supervising the team at our Port Canaveral and to assist with delivering/picking up mobility equipment to the Cruise Ports, Airports, Resorts, Residences, Convention Centers and Hotels in and around the Port Canaveral, Florida area.

What That Actually Involves

• Supervise staff including hiring, evaluating, coaching, progressive discipline, and terminations. 
• Manage terminal and onboard rental programs and their inventories.
• Assist in training and managing employees in addition to providing leadership and guidance to all associates.
• Oversee day-to-day operations of multiple routes.
• Plan and monitor employee schedules and route scheduling including regular communication throughout the day until all routes are completed.
• Deliver and Pick Up equipment from customers in thePort Canaveral area as needed.
• Perform Tier-1 and Tier-2 service on Scootaround and WHILL equipment
• Adhere to appropriate security measures when opening and/or closing the warehouse.
• Ensure all vehicles, drivers, and processes meet DOT & Scootaround requirements.
• Schedule deliveries and dispatch drivers based on the requirements of the customer.
• Work closely with Operational Team Members, Customer Service Agents, and customers (both internal and external) to ensure exceptional delivery experience.

• Must be able to work both indoors and outdoors in varying environmental conditions and under pressure
• Must have valid driver's license and be able to operate company vehicle

• Ability to operate a computer, phone, and standard office equipment as needed.
• Proficiency or willingness to learn digital platforms for communication, documentation, and task management.

Attendance and Time Commitment:

• Regular attendance is required for the shifts scheduled.
• Timely responsiveness and presence during meetings and operational check-ins are expected.
